These terms and conditions apply to your booking on board the Vulkana. Please read them
carefully, as you will be legally bound by them.
- Your contract
When you book an experience with Vulkana, the contract between the company and you
will exist as soon as you or your travel agent asks us to confirm your booking. Unless a
separate agreement is made, this is a binding agreement between Vulkana Drift AS
(hereafter also referred to as the company) and guest, (hereafter also referred to as the
customer). Otherwise the regulations laid down in the Act on Package Holidays apply to
those trips covered by the act.
Vulkana Drift AS then becomes responsible to provide you with the voyage/package,booking
arrangements you have booked and you become responsible to pay for them, in accordance
to these terms and conditions. When you make a booking, you guarantee you have the
authority to accept and do accept on behalf of your party the terms of these booking
conditions and accept responsibility for making all payments to us for all members of the
party.
A confirmation invoice which you should check as soon as you receive it will be sent on
receipt of your deposit. If you wish to change or cancel any arrangements later you may
have to pay an amendment or cancellation charge and additional costs (see heading 5,
which may be as much as the whole of the original price of your arrangements. - PAYMENT
Once you have asked us to confirm your booking the total price of the arrangements you
have booked is due and is payable as follows:
2.1. Overnight tours:
a) If you book more than 60 days before your scheduled booking date a non
refundable deposit of 20%. The balance is due 60 days before your scheduled
departure date.
b) If you book less than 60 days before your scheduled booking date the full price
is payable when you book.

2.2. Spa packages , day trips ect
a) If you book more than 14 days before your scheduled booking date a non
refundable deposit of 10%. The balance is due on the day of departure. This can be
arranged by invoice or paid on board.
b) If you book less than 14 days before your scheduled date the full price is
payable when you book. The payment can be arranged by invoice or you can be paid on
board by credit card. Note that terms of cancellation apply (See heading 5.1.)
- PRICES
The price of your purchase will be confirmed upon your reservation. The company keeps the
right to correct the price. The main reason for the company to be able to adjust the price
after the booking confirmation, is if there occur any changes in public taxes. If the customer
wants to cancel the tour due to price adjustments this has to happen latest 7 days’ after the
the date of the adjusted invoice. Also, there might occur additional costs if the guests have special requests which must be
solved during the tour, which have not been taken account for in advance. In this case the
Vulkana will never add extra costs without a common agreement with the customer or tour
operator. - If you change your Booking
If you wish to change your booking after it has been confirmed, we will do
our utmost to help but it may not always be possible. Any request for changes to be made
must be in writing to post@vulkana.no by the person who made the booking or your travel
agent. If you change the number of people in your party, the price of the arrangements will be
recalculated for the new party size.
4.1 Overnight tour: preferably all changes must be reported to the company latest
14 days before departure.
4.2 Packages without overnight stay: reduction in the number of passengers has to
happen in accordance with the cancellation terms (see heading 5.2.) Additional
number of guests has to be notified latest 48 hours before departure.
- IF YOU CANCEL
You, or any member of your party, may cancel your bookings at any time. Written
notification from the person who made the booking or your travel agent must be received at
post@vulkana.no. Cancellation takes effect the day we receive your email. Since we incur
costs in relation to your arrangements from the time we confirm your booking you will have
to pay the applicable cancellation charges as shown in the table below (which also applies if
we cancel because you have failed to make payments on time – see ‘Payment’ section).
5.1. Cancellation terms for overnight tours:
Days upon departure / Cancellation fee in % of the total order price:
- More than 60 days before: fee in accordance to the deposit
- 60 – 42 days before: 30%
- 41 – 28 days before: 60%
- 27 – 14 days before: 90%
- Less than 14 days before: 100%
5.2. Cancellation terms for shorter trips/packages without overnight stay: Days
upon departure / cancellationfee in prosent of the total order price: - More than 14 days before: fee in accordance to the deposit
- 14 – 7 days before departure: 50%
- Less than 7 days before departure: 100%
- If we change your booking.
Vulkana Drift AS reserve the right to change any of the details, and correct any errors in the
information given or invoices at any time. If changes are made before you have made your
booking, we will advise you before we confirm your arrangements. We reserve the right in
specific circumstances to cancel your travel arrangements (for example if a minimum
number of participants for a particular booking is not reached, we may have to
cancel it). Even after we have confirmed your booking we may have to make alterations but
we will not cancel your travel arrangements less than 8 weeks before your departure except
for reasons of force majeure or failure by you to pay the final balance in full.
Most alterations will be minor and while we will do our best to notify you or your travel
agent of any changes as soon as reasonably possible if there is time before your departure, we will have no other liability to you.
- Complaint procedure
If there is a problem during your booking, you must report it on board immediately or to the
relevant ground handler, or tour operator, so that prompt efforts can be made to resolve the
problem. In the unlikely event that a problem cannot be resolved at the time and you wish
to complain, you must send us full written details within 28 days of your return. Failure to
take either or both of these steps will prejudice our ability to resolve your problem and / or
investigate it fully. In consequence, any right to compensation you may have will be
extinguished or, at the very least, substantially reduced.
Any complaints must be made to the Company in writing no later than 2 months after return
from travel or the date on which the service complained of was performed. The Company
will provide a final reply within 2 months. You must supply full details to enable the Company
to deal with your complaint. - LIABILITY
a) Except where otherwise expressly stated in these booking conditions, we regret we
cannot accept liability or pay any compensation where the performance of our
contractual obligations is prevented or affected by or you otherwise suffer any
damage or loss as a result of ‘force majeure’. In these Booking Conditions, ‘force
majeure’ means any event which we or the supplier of the service(s) (eks. Guiding
company) in question could not, even with all due care, foresee or avoid. Such events
may include war or threat of war, riot, civil strife, actual or threatened terrorist
activity, industrial dispute, natural or nuclear disaster, adverse weather conditions,
fire and all similar events outside our control.
b) We will accept responsibility for the booking on board including accommodation / full
board facilities and transportation with the Vulkana as an ‘organiser’ under the
Package Travel, Package Holidays and Package Tours Regulations 1992. The Company
has liability insurance through Gjensidige insurance company.
c) Note that land based activities will be organized by a supplier (e. guiding). All activities
on land will not be covered by Vulkana Drift AS liability insurance unless this is
specified in your particular order. As a standard it is the supplier’s responsibility to
arrange insurance regarding land based activities(guiding tours, spa and swimming ect…)
d) The customer and all participant are responsible for taking out travel insurance
before coming on the Vulkana. - INDEMNITYWhen you book arrangements with us you accept responsibility for the proper conduct of yourself and your party. If your actions or omissions cause damage to any property in the provision of the contracted arrangements, you agree to fully indemnify us against any claim(including professional fees and legal costs) made against us by or on behalf of the owner of such property. The Captain of the ship,or manager has authority over the ship and passengers at all times when they are on board. There will be no liability on our part, or that of any supplier, for any refund, compensation, or costs thus incurred. Additionally, we will have the right to recover full costs resulting from the incident from the passenger.Please note Spa activities and sea plunges are done at your own risk
- Data protection
In order to process your booking and ensure your travel arrangements run smoothly and
meet your requirements we, Vulkana Drift AS, need to use the information you provide such
as name, address, any special needs/dietary requirements etc. We take full responsibility for
ensuring that proper security measures are in place to protect your information. We might
have to pass the information on to the relevant suppliers of your travel arrangements (such
as guide).
We follow the GDPR (General Data Protection Regulation) in handling all the information we
receive from you. We will not under any circumstances share the information with any third
parties which are outside the company, or not involved in the experience you have booked
with us (guide services or spa and masseuse services). You can at any time ask for the
information we have stored on you, and have this deleted upon request.
